About the Role

Your mission is to ensure the right materials are in the right place, at the right time, and at the right cost — without preventable emergencies.

You will:

  • Manage weekly ordering and inventory for cold-chain and food packaging
  • Support relationships with warehouse and 3PL partners
  • Continuously benchmark the market to improve pricing and specifications

This is a hands-on, spreadsheet-driven role. There is no ERP system — you will operate and improve Google Sheets, trackers, and playbooks that must remain accurate, clean, and scalable.

Key Responsibilities

Inventory & Procurement Management

  • Maintain par levels and weeks-of-cover for packaging SKUs (liners, ice packs, corrugate, jars, lids, labels, inserts) across HQ and 3PL
  • Place weekly and monthly purchase orders (POs) with accurate lead times and delivery schedules
  • Track inbound shipments and reconcile receipts against POs and vendor packing lists

Vendor & Warehouse Coordination

  • Resolve discrepancies with vendors and warehouse teams
  • Coordinate pallet counts, storage, audits, and accessorial fees with warehouse and 3PL partners

Cost Tracking & Optimization

  • Maintain an up-to-date packaging cost model (cost per order and per box)
  • Analyze cost drivers and report weekly changes
  • Benchmark high-volume SKUs at least twice per year
  • Run RFQs and build landed-cost comparisons

Process & Documentation

  • Manage blanket POs and optimize pallet-based storage to reduce tied-up cash
  • Maintain procurement playbooks and file systems for easy onboarding
  • Ensure all trackers and documentation are accurate and up to date

Reporting

  • Send a concise daily update covering:
  • Orders placed
  • Deliveries received
  • Issues encountered
  • Risks for the next 2–4 weeks

Who You Are (Ideal Candidate)

  • 2–4 years of experience in procurement, purchasing, or supply chain
  • Exposure to packaging or perishable goods preferred
  • Strong skills in Google Sheets or Excel (MRP logic, PO logs, inventory tracking, cost models)
  • Comfortable operating without an ERP system
  • Structured, detail-oriented, and reliable under pressure
  • Clear and direct communicator (written and verbal)
  • Curious about cost structures, COGS, shipping economics, and margins
