Job Title: Personal Assistant & Office Administrator (12-Month FTC)

Salary: £45,000

Location: London (2 days office-based, 3 days remote)

Start Date: End of April (ideal)

The Role

We are seeking a highly organised and proactive Personal Assistant & Office Administrator to join the team on a 12-month fixed-term contract to cover maternity leave.

This is a varied hybrid role where you will provide executive support to senior leadership, assist with people-related administration, and ensure the smooth day-to-day running of the office. It would suit someone who thrives in a dynamic environment and enjoys balancing multiple priorities.

There is potential for this role to become permanent.

Key Responsibilities

Executive Support

  • Manage senior leadership calendars and inboxes, including drafting communications
  • Act as a key point of contact for internal and external stakeholders
  • Process expenses for executives
  • Provide ad hoc personal and administrative support
  • Support internal communications across the business
  • Coordinate and prepare materials for company-wide meetings, including All-Hands
  • Organise executive travel (UK and international) and event logistics
  • Support company-wide events such as social events and internal initiatives

Office Management

  • Oversee office supplies, facilities, and weekly orders
  • Manage office-related queries and maintenance requests
  • Coordinate health & safety checks

People & Administrative Support

  • Assist with HR administration including onboarding, offboarding, and employee documentation
  • Coordinate interviews and recruitment scheduling
  • Support employee engagement initiatives, including gifting and events
  • Maintain internal systems and company information resources

Requirements

Essential:

  • Minimum 3 years’ experience in a PA / EA or Office Administrator role
  • Strong organisational skills with excellent attention to detail
  • Ability to manage multiple priorities and work proactively
  • Confident communicator across all levels
  • High level of discretion when handling sensitive information
  • Experience using Google Workspace (Docs, Sheets, Slides, etc.)
  • Experience supporting or coordinating All-Hands meetings
  • Comfortable working in a fast-paced, evolving environment

Desirable:

  • Experience supporting senior leadership or executive teams
  • Experience working across multiple time zones
  • Exposure to HR or people-related administration
  • Experience in a high-growth or tech-led environment
