QR-Based Security Door Maintenance System Setup

Setup of Zero-Cost QR-Based Door Inspection System (Google Workspace / Sheets / Drive)

Project Description: I need a professional to develop a simple yet robust digital tracking system for the maintenance of security doors in 24 supermarket locations. If this pilot phase works well, the system will be scaled to 150-250 locations.

THE CORE REQUIREMENT: A system with zero recurring subscription costs. We already own Google Workspace and Aruba hosting/mail; the solution must leverage these or other 100% free tools.

Technical Workflow:

Database & Structure: * Use Google Sheets as the master database.

Data must be filterable by Shop, Date, and Door ID.

QR Code System (To be generated by the Freelancer):

You will generate approximately 600 unique QR codes (up to 25 doors per shop).

Each QR code must point to a Pre-filled Google Form URL.

When scanned, "Shop Location" and "Door ID" must be automatically filled.

Operator Input: The operator will only need to enter an Optional Phone Number (for identification) and Upload a Photo.

Advanced Photo Management (Crucial):

Photos must NOT be saved in a generic folder.

Each photo must be uniquely linked to the specific shop/entry in the database.

The freelancer must set up a system (via Google Apps Script or Form settings) so that I can easily identify which photo belongs to which shop/door directly from the spreadsheet.

Operational Constraints:

No Required: Operators must be able to upload photos without a Google.

Scalability: The system should be designed as a template so we can replicate it for more shops if the pilot is successful.

Deliverables:

Complete setup of Google Forms and Sheets.

All QR Codes generated and delivered in a printable format (PDF/Excel), clearly labeled (e.g., "Shop 01 - Door 05").

A script or method to ensure photos are organized/named according to the Shop/Door ID.

Short instructions on how to add new shops.
