"Job Title: Program Assistant FSR # 783 Location: Amman JOB SUMMARY The Programs/Projects Assistant will be responsible for providing administrative, logistical, and operational support to the Programs Department to ensure effective implementation, monitoring, and reporting of projects. The role supports coordination across departments and contributes to timely delivery of activities in compliance with donor and organizational requirements. To perform this job successfully, an individual must be able to perform each essential function with or without reasonable accommodation. MAIN TASKS AND RESPONSIBILITIES Project Implementation Support Assist in the day-to-day coordination and follow-up of project activities. Support preparation of workplans and activity schedules. Track implementation progress against targets and timelines. Maintain updated activity trackers and monitoring tools. Support field visits and documentation of activities. Administrative and Documentation Support Maintain organized project files (hard and soft copies). Draft routine correspondence, meeting minutes, and internal memos. Compile supporting documents for donor reporting. Ensure proper archiving project documents according to organizational standards. Reporting and Data Support Support data collection and consolidation from field teams. Assist in drafting monthly, quarterly, and donor reports. Verify activity data for completeness and accuracy. Maintain beneficiary databases and tracking sheets. Support preparation of presentations and summary briefs. Coordination and Communication Liaise with internal departments (Finance, HR, Logistics, Procurement) to support project needs. Follow up on procurement requests and service requests. Support coordination meetings with partners and stakeholders. Ensure timely communication between field teams and management. Financial and Compliance Support Assist in tracking project expenditures against budget lines. Support preparation of payment requests and financial documentation. Ensure activities are implemented in line with donor guidelines and compliance standards. Flag any risks, delays, or compliance concerns to the supervisor. Perform other duties as assigned. MINIMUM QUALIFICATIONS Bachelor’s degree in business administration, public health, development studies, or a related field. 1–3 years of experience in project support, administration, or program/project coordination (preferably in NGO/humanitarian sector). Strong organizational and documentation skills. Good knowledge of MS Office (Excel, Word, PowerPoint). Ability to work under pressure and meet deadlines. Strong written and verbal communication skills. Willingness to travel on up to 50% of the time may be required Fluency in Arabic and good command of English.
