About the Role

We are looking for an organized and detail-oriented Operations Coordinator. This is not a role for someone who just wants to check off isolated tasks. We need a central coordinator who can take ownership of the business's day-to-day moving parts, from tracking budgets to managing project timelines.

Who You Are

  • A Reliable Coordinator: You enjoy being the middle person who connects the field team, the clients, and the office.
  • Detail-Oriented: You notice when a number is off or a deadline is slipping before it becomes a problem.
  • Practical Communicator: You speak and write clearly. You are comfortable talking to a client about a schedule change or following up with a subcontractor on a late delivery.
  • Organized: You don't need a manual for every small task. You see what needs to be done to keep a project on track and you do it.
  • Tech-Savvy: You are comfortable working in Monday.com and accounting software, and you can pick up new tools quickly.

Requirements:

  • Candidates from South Africa or Ethiopia preferred.
  • Proven experience in a role that combines administration, basic finance, and project coordination.
  • Strong English communication skills (written and verbal).

Responsibilities

Your Responsibilities

1. Accounting & Finance Support

  • Budget Tracking: Keep a close eye on project costs and general financial oversight.
  • Invoicing: Manage all billing and outgoing invoices for the business.
  • Software: Use QuickBooks (or similar accounting tools) to keep records accurate.

2. Operations Coordination

  • Scheduling: Organize jobs, manage timelines, and ensure everyone knows where they need to be.
  • Communication: Act as the main point of contact for clients, subcontractors, and painters.
  • Logistics: Order materials and supplies to ensure projects move forward without delays.

3. Administrative Tasks

  • Documentation: Create purchase orders (POs) and maintain organized digital records.
  • Data Entry: Keep internal systems updated with accurate information.
  • Support: Assist with internal processes to keep the office running smoothly.

4. Systems & Tools

  • Project Management: Use Monday.com (or similar tools) to track every stage of a project.
  • Multi-tasking: Navigate multiple software systems simultaneously without losing track of details.
