Zapier + Gmail + BoldTrail (kvCORE) Workflow Setup & Email Deliverability Optimization (Real Estate)

I’m a Commercial & Residential Real Estate Agent, and I’m building an automated outreach and lead management system using:

Zapier Gmail (Google Workspace) Google Sheets BoldTrail CRM (kvCORE)

I’m looking for an experienced freelancer to review, optimize, and finalize my workflow to ensure it works smoothly in a real-world setting and maintains high email deliverability.

Project Overview

I have a system that:

Sends personalized outreach emails to business owners (from Google Sheets via Zapier + Gmail) Tracks responses and stops follow-ups when a reply is received Moves engaged leads into my CRM (BoldTrail / kvCORE)

What I Need Help With

Review and improve my Zapier workflow structure Ensure proper setup of: Gmail sending (avoid spam/promotions) Threading (same email conversation) Filters, delays, and conditions Optimize the transition from Zapier to BoldTrail CRM Advise on best practices for: Email deliverability (very important) Cold outreach structure (non-spammy, 1:1 feel) Identify any risks or inefficiencies in my current system

Key Priority

This system will be used with real clients, so I need someone who understands:

Email deliverability (SPF, DKIM, sending behavior, etc.) CRM workflows in real estate How to balance automation with personalization

Ideal Candidate

Strong experience with Zapier (multi-step Zaps, Gmail, filters, delays, paths) Experience with email deliverability and cold outreach systems Familiar with Google Workspace (Gmail sending best practices) Experience with BoldTrail / kvCORE (highly preferred) Bonus: Experience in real estate, B2B outreach, or lead generation systems
