Job Summary: The Lease Administrator is responsible for managing lease documentation, maintaining accurate records, and supporting the leasing and commercial team in ensuring all lease agreements are properly executed and administered. The role focuses on maintaining compliance, tracking key lease terms, and ensuring smooth coordination between tenants and internal departments to support the mall’s commercial success. Duties and Responsibilities: Lease Administration Prepare, review and manage lease agreements, amendments and related documentation. Ensure all lease documents are accurately recorded, updated and securely maintained. Track key lease terms including rent schedules, renewals, expiries and escalation clauses. Monitor compliance with lease terms and highlight any discrepancies or issues. Tenant Coordination Serve as a point of contact for tenants regarding lease-related matters. Coordinate with tenants on documentation, approvals and lease requirements. Support tenant onboarding processes and ensure all documentation is completed. Maintain professional relationships with tenants to support smooth communication. Financial and Reporting Support Coordinate with finance team to ensure accurate billing based on lease terms. Track rental payments, service charges and other lease-related financial obligations. Prepare lease reports, summaries and updates for management. Support reconciliation of lease data and financial records. Documentation and Record Management Maintain an organized and up-to-date lease database and filing system. Ensure all records are easily accessible and aligned with internal policies. Prepare reports on lease status, occupancy and tenant mix. Compliance and Process Support Ensure all lease processes comply with internal policies and legal requirements. Support audits by providing required lease documentation and records. Assist in improving lease administration processes and systems.
