Job Title: Branch Manager Reports to: Branch Coordination and monitoring manager Location: Branch office Job Summary: Under the general guidance and direction of the Branch Coordination division manager, Branch Manager plans, organizes, directs, coordinates and controls operational activities of the branch; ensures the adequacy and proper utilization of resources allocated to the branches; accomplishes assignments, directives, and other related activities delegated to him/ her; ensures that financial transactions are properly maintained, recorded, balanced and timely closed; ensures the up-keeping of all cash and payment instruments in safe custody, submits regular and special reports on the business Operation of the branch. Specific Duties and Responsibilities Plans, organizes, directs, coordinates and controls the business operation and activities of the branch; Implement applicable policies & procedures developed and approved to regulate operations of the branch; ensures that the labor law, collective agreement and other applicable internal human resource rules and regulations of the Company are consistently and properly enforced in the branch Ensures the adequacy and proper utilization of human, material, financial and other necessary resources allocated to the branch Accomplishes assignments, directives, and other related activities given by head office and expected from the branch Ensures the delivery of effective and efficient customer service provision in accordance with contractual agreements entered into with customer organizations; Prepares operation plan and annual budget proposals and submits the proposals to immediate supervisor for review and endorsement; Handles or responds to complaints of customers and staff query and operational problems referring the case beyond branch capacity and delegation to the Operations Department; Manages the maintenance of trusted and acquired real estate properties, fund administration, security and cleaning service, service charge or rent collection and other related activities; Conducts recruitment to fulfill the staff requirements of customer organizations on job positions such as security guard, cleaner, messenger, driver, gardeneetc. that are outsourced to the Company as specified in the respective contractual agreements; Orients, trains and assign new recruits to customer service stations and follows up probation period performance thereof; Ensures that a personnel database of security guard, cleaning and other staffs deployed to different customer organizations are properly maintained and updated; Administers, remuneration, performance management, disciplinary case, leave management and other personnel actions of the branch employees. Schedules and administers the various leave entitlements in accordance with the labor law company’s HR policy and other pertinent rules and regulations derived thereof; Conducts training need assessment, gets necessary trainings administered by the Head Office and evaluates the impact of trainings given; Approve payment vouchers, purchase requisition, store issue voucher and other financial documents in accordance with delegated signatory authority; Ensures that financial transactions are properly maintained, recorded, balanced and timely closed Ensures that financial operations, preparation of branch reporting and cash handling are done as per Company rules, regulations and procedures Facilitates cash supply in accordance with the cash balance allowed and the payment need and actual cash requirement of the branch Undertakes periodic performance appraisal and staff development activities Promptly rectifies discrepancies reported by auditors; Ensures that branch documents, personnel files and records are kept safely; Submits regular and special reports to the immediate supervisor on business performance and other matters of the branch in accordance with the established reporting framework in place by the Company; Ensures all activities and function to be done within the objective of the company to meet and exceed customer needs and expectations; Develops, implements and maintains modern management systems with the view to create opportunities for improvement; Utilizes resource in areas of responsibilities as provided in annual work plan and budget within authorized limits; Takes due responsibility and accountability for managing and controlling resources and property allocated for work within area of responsibility; Identifies training needs of employees deployed in the branch and follows up appropriate trainings and human resource development program, in accordance with the training policy and procedure; Creates and maintains conducive working environment that enhances workers involvement in achieving organizational objectives Performs other related duties as assigned by the immediate supervisor. Minimum Requirement Master’s Degree in Economics or Management or Accounting or other Business related fields Or BA Degree in Economics or Management or Accounting or other Business related fields with 7/9 years of working experience respectively of which 2 years at Job Grade 8/ 4 years at job grade 7. Competency Thorough knowledge of business and financial management practices Thorough knowledge of financial policies and regulations of the Company Ability to coordinate, motivate and direct subordinates; Analytical, communication and interpersonal skill; Basic computer application skills
