Position Focus

The Senior Admissions Specialist provides high-level support to accomplish the recruiting, evaluation, and yield objectives of the Yale School of Management (SOM) Admissions Office. Interact directly with candidates, provide event planning and support, update records, and respond to inquiries. Additional responsibilities include correspondence, record-keeping, data entry, expenses, and related activities. Limited overtime and Saturday required.

  • Provide administrative support to admissions officers as assigned, including planning, execution, and support for on-campus, off-site, and virtual recruiting, evaluation-related, and yield events. Communicate and coordinate with relevant internal and external stakeholders (including but not limited to students, staff, faculty, and outside vendors) in furtherance of these efforts.
  • Serve as point of contact for prospective, current, and admitted applicants via email, phone, and in person. Correspond directly with MBA candidates to answer questions and resolve issues, helping ensure that candidates receive the best client experience possible.
  • Provide coverage for admissions phone lines and email boxes, as well as front desk support for on-campus activities and occasional support for off-site events.
  • Work within the internal admissions office database to collect and organize information, set up events and communications, process and track applications, update records, run queries and conduct analyses, resolve questions, and ensure optimal operation. Manage flow of data between outside systems and internal admissions database.
  • Assist in coordinating travel arrangements and preparing expense reports and other financial transactions for select administrative users.
  • Provide insights and advice on process and outcome improvements.

Required Education And Experience

Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of demonstrated experience and education.

Required Skill/Ability 1

Ability to work with a variety of computer applications. Very strong detail orientation and analytical and data manipulation skills. Intermediate to advanced skills with Microsoft Outlook, Word, Excel, and Outlook Calendar.

Required Skill/Ability 2

Exceptional interpersonal skills and strong oral and written communication skills. Cover letter strongly encouraged. Ability to react and adapt to changing situations appropriately. Team player with ability to represent the Assistant Dean, Admissions Officers, YSOM, and the University (and outside the University) in a professional manner.

Required Skill/Ability 3

Strong independent judgment and capacity to take initiative in a “multi-tasking” environment with minimal supervision. Requires the ability to proactively respond in a consistent and timely manner, setting and maintaining a standard of professionalism and accuracy in dealings with all customer groups.

Ability to relate comfortably and knowledgeably with a wide range of individuals in high-level academic and/or professional positions. Absolute discretion with confidential information and materials.

High level of proactivity, ability to prioritize pending issues and activities, take appropriate initiative without waiting to be instructed, and to involve and mobilize other team members when a particular situation warrant is integral to this role.

Preferred Education, Experience And Skills

Bachelor’s degree. Demonstrated experience in an admissions office, administrative support. Existing working relationships with individuals within Yale University and knowledge of Yale SOM MBA program. Proven experience with customer management systems and Yale’s systems (Banner, Technolutions Slate, Brio). Mail Merge in Word. Working knowledge of Yale policies and procedures.
