Job Title: Office Manager (15 Months) Location: Durham Salary: £29,000 - £30,000 per annum Hours: Monday - Friday, 8.30 am - 16.30 pm plus early finish on Friday!

As Office Manager, you will play a pivotal role in ensuring the smooth day to day running of the office while providing comprehensive business, HR and finance support across the organisation. Acting as a trusted internal partner, you will support the Head of Finance and Senior Leadership Team as well as internal teams and processes.
This is a varied, hands on role on a 15 month fixed term contract, suited to someone highly organised, proactive and confident operating at a senior level. It is ideal for an individual who thrives in a multifaceted environment with significant responsibility and autonomy.
Responsibilities of Office Manager:
- Lead and optimise daily office operations, ensuring the smooth running of facilities, IT, equipment and supplies to maintain a high performing workplace environment.
- Manage relationships with external service providers, overseeing contracts, renewals and service standards to ensure value and efficiency.
- Act as the first point of contact for HR administration, maintaining accurate staff records and overseeing holidays, sickness, inductions and training compliance.
- Maintain and develop company policies, procedures, staff benefits and health & safety practices, ensuring compliance and promoting best practice.
- Coordinate company travel and manage sensitive staff documentation with discretion and accuracy.
- Oversee purchase orders and invoice processing, ensuring accurate matching, expense management and support with credit control activities.
- Maintain accurate financial records including Sage entries and completion of vendor documentation.
- Support the Head of Finance with ad hoc projects, ensuring data integrity and regulatory compliance.
- Serve as the internal lead for HubSpot, providing user support and driving continuous system improvement and data accuracy.
- Provide proactive administrative support across internal teams including website updates and general business administration.
- Deliver high level, confidential support to the CEO, Senior Leadership Team and Board.
- Lead event administration including booking management, payment follow ups, travel and ticket coordination, delegate and badge preparation and comprehensive post event reporting.
- Represent the organisation at events when required, acting as a professional and knowledgeable ambassador.
Experience Required:
- Previous experience in office management or within senior administration position.
- Strong organisational and multitasking skills with the ability to meet deadlines.
- Excellent communication skills, both written and verbal with confidence engaging at senior level.
- High level of IT literacy, particularly Microsoft Office and CRM systems.
- Strong problem solving ability with a proactive, can do approach.
- Ability to handle sensitive and confidential information with discretion.
