Job Title: Office Manager (15 Months) Location: Durham Salary: £29,000 - £30,000 per annum Hours: Monday - Friday, 8.30 am - 16.30 pm plus early finish on Friday!

As Office Manager, you will play a pivotal role in ensuring the smooth day to day running of the office while providing comprehensive business, HR and finance support across the organisation. Acting as a trusted internal partner, you will support the Head of Finance and Senior Leadership Team as well as internal teams and processes.

This is a varied, hands on role on a 15 month fixed term contract, suited to someone highly organised, proactive and confident operating at a senior level. It is ideal for an individual who thrives in a multifaceted environment with significant responsibility and autonomy.

Responsibilities of Office Manager:

  • Lead and optimise daily office operations, ensuring the seamless management of supplies, equipment, IT support and facilities to create a efficient and high performing workplace.
  • Build and maintain strong relationships with external service providers, overseeing contracts, renewals and service delivery.
  • Act as the first point of contact for HR administration, managing staff records, holidays, sickness, inductions and training compliance.
  • Own and maintain company policies, procedures, staff benefits and health & safety compliance, championing best practice across the organisation.
  • Coordinate travel bookings and manage essential staff documentation with accuracy and discretion.
  • Manage purchase orders and invoices, ensuring accurate matching, expense processing and support with credit control.
  • Maintain accurate financial records by logging entries on Sage and completing vendor documentation.
  • Support the Head of Finance with ad hoc projects while ensuring data accuracy and compliance.
  • Serve as the internal lead and primary contact for HubSpot, supporting colleagues and driving ongoing system development and improvement.
  • Provide proactive administrative support to internal teams including website updates.
  • Deliver high level, confidential administrative support to the CEO, Senior Leadership Team and Board.
  • Attend and support events when occasionally required, acting as a professional ambassador for the organisation.

Experience Required:

  • Previous experience in office management or within senior administration position.
  • Strong organisational and multitasking skills with the ability to meet deadlines.
  • Excellent communication skills, both written and verbal with confidence engaging at senior level.
  • High level of IT literacy, particularly Microsoft Office and CRM systems.
  • Strong problem solving ability with a proactive, can do approach.
  • Ability to handle sensitive and confidential information with discretion.
