WooCommerce Competition System (POS + CRM + Multi-Winner Draw)
Description
Existing WordPress (Tri-n-Win) site using WooCommerce + Cashflows. Need backend system upgrade (NOT rebuild) to unify:
-Online entries -Event POS entries -Manual entry additions (event interactions) -CRM/email automation -Multi-winner draw system
PROJECT GOAL:
Simple, fast, reliable system for live events with full admin control without the need for on-going dev reliance.
1.MAIN DRAW MULTI WINNER
See site for current set up, this is to be replicated but during the 'live draw' the event automatically disappears after the draw for the current single events and it updates the winners page straight away. As we now want to do a single event incorporating 3 prizes, we need to do 3 draws for 1 event. This needs to be updated backend so the event does not disappear and the automation is replaced to give us complete control when the winners are published on the winners page and enable multi-draws with the event being removed from the site after the first draw.
This is broken down further below.
2.WOO BUNDLE LOGIC
Products = bundles asg FIXED total entries @£2 tickets to include free entries, for example:
£10 = 5 tickets + 1 free = 6 entries
£20 = 10 tickets + 4 free = 14 entries
£50 = 25 tickets + 10 free = 35 entries
Show total entries only (no “free tickets”)
Checkout + emails must display total entries
The bundles already exist in the single events but the free entries do not, these need incorporating throughout the site.

Add bonus entries (+2/+5/+10/+20, double toggle)
Auto-calculate total entries

Must be very fast (event use)
- NON-PURCHASE ENTRIES
Add entries without purchase (e.g. spin win at live event)
Store user, include in draw, send confirmation email
- QR + EMAIL CAPTURE (for use at live evetns)
Create page (e.g. /win):
Name + email form
Save to CRM (tag: event signup)
Redirect OR message: “come to stand to spin”

Use FluentCRM (or similar):
Auto email when entries added (online or manual)
Include total entries + competition details
Tag users (online/event/bonus)
IMPORTANT: Remove existing PHP auto emails
- EMAIL POPUP
“10% off first entry”
Capture email + send coupon
- MULTI-WINNER DRAW (CRITICAL)
Replace current auto system with:
“Draw Winner” button (1 winner per click)
Support multiple winners (e.g. 3)
View all winners before finalising
CONFIRM + FINALISE:
“Confirm Winners” (no actions yet)
“Complete Draw” → send emails + mark complete
WINNERS PAGE:
Add “Publish to Winners Page” button
