AI Receptionist Integration & Automation
Description
I am rolling out an AI-powered receptionist to take over several front-desk duties and weave them seamlessly into our current workflow. The assistant must be able to book and manage appointments directly in Google Calendar, handle incoming messages and send intelligent replies from our Gmail account, place outbound calls that deliver intake forms, and guide members to complete payments without human intervention.
To keep the project concrete, I will consider the job complete when the assistant can:
• Create, reschedule, and cancel events in Google Calendar while avoiding conflicts and sending confirmations to guests. • Draft, send, and track email responses through Gmail with conversation context preserved. • Initiate outbound voice calls, deliver links to digital intake forms, capture submissions, and store the data in our CRM (or a simple spreadsheet if no CRM link is available yet). • Direct callers or email respondents to the correct payment portal, confirm successful transactions, and log the result.
Code-level documentation, API keys stored in environment variables, and a short user guide for my team are part of the final hand-off. If you recommend specific telephony or form-builder tools (Twilio, Typeform, etc.), note any additional fees up front so we can approve them before implementation.
Please build with maintainability in mind; I should be able to adjust greetings, email templates, and payment URLs without touching the core logic. Once everything passes a week-long live test with real customers, I will sign off on the project.
