At Food for the Hungry, we operate under a set of values called Heartbeat Values JOB Summary The position is responsible for efficient office administration, proactive liaising stakeholders representing FH Ethiopia (Attend cluster meetings on EW, Nutrition and work closely with government entities, partners, vendors, and community representatives) to promote smooth relationships, and comprehensive logistics coordination of inventory management, travel arrangements, transportation, and asset maintenance. The coordinator plays a vital role in maintaining operational efficiency, compliance, and enabling the successful implementation of FH programs. Key Result # 2 Fleet Management, Maintain daily vehicle movement schedule and records and assign vehicles as needed providing daily movement schedule by the close of business the previous day. Analyze data on vehicle use and cost, submit a monthly mileage report to the Operations Manager review and approval. Ensure that new vehicles are correctly registered, insured, etc. and initiate the process of renewal of documentation as required. Responsible for coordination of annual vehicle insurance renewal with CO operation team Ensure accurate review and timely preparation of payment for rented light vehicles in compliance with agreement entered prepare & submit periodic reports on vehicle usage, asset status Key Result # 3 Liaising, coordination and partnership Serves as the primary point of contact between FH Ethiopia and its external partners, stakeholders, and internal departments. Ensures smooth communication, fosters collaboration, and supports the execution of joint initiatives. Represent FH Ethiopia in EW and VBT consultation and review meetings, prepare summary presentations, and develop meeting minutes in consultation with the HO EW and VBT Manager. ECC, INGO Group, RE-ACT, Food Cluster and other stakeholder and partner engagements at regional level. Actively participate in nutrition cluster meetings, technical working groups, and coordination forums, contributing program updates, early warning alerts, and response information from JEOP operational areas Identify potential issues in partnerships and proactively propose solutions. Support leadership in developing strategies for stakeholder engagement. Prepare reports, presentations, and updates on the different engagements for management and partners. Ensure compliance with FH Ethiopia’s policies and relevant regulations in all liaison activities. Serve as the primary focal point representing the JEOP Early Warning and Nutrition response program in Regional Nutrition Cluster and ENCU coordination platforms, ensuring alignment with government-led emergency nutrition priorities. Facilitate timely two-way information flow between JEOP program teams and regional coordination structures, ensuring that cluster guidance, policy updates, and technical directives are communicated and operationalized within the program. Support the integration of early warning information with nutrition response planning, including sharing of caseload trends, pipeline status, service delivery challenges, and emerging risks. Work closely with the country office and project area offices to strengthen communication and partnerships with the Regional DRMC and relevant sector offices. Ensure timely, inclusive, and regular information sharing with regional partners and focal persons on early warning and targeting issues through meetings, email communication, and liaison. Participate in seasonal and rapid emergency needs assessments in the region, including Meher and Belg assessments, as required. Key Result #4 Financial settlements Check and facilitate DHL, hotel and other service payments accordingly Check and facilitate monthly utility bills settlement Check and facilitate periodic payment requests of Security and janitorial service providers Check and facilitate vehicle maintenance payment requests Key Result #5 - Warehouse and Asset management Support the management of all project inventories (expendable and non-expendable), initiating regular physical warehouse counts and preparing associated reports. Ensure proper tagging and maintenance of field office assets, including maintaining individual lists of office equipment. Ensure the execution of physical inventories in all offices on an annual basis. Ensure the ongoing maintenance of up-to-date inventory documentation in all offices. Coordinate and ensure the reconciliation of inventories (both office and partner) with relevant databases Safeguarding Policy FH strives to provide an environment free from sexual exploitation and abuse and harassment in all places where relief and development programs are implemented. Gender Responsibility ⮚ Provide adequate time to staff to participate in gender sensitivity workshops and related events. ⮚ Through observation, interviews, and spot-checks, ensure that the staff planning process is gender sensitive. ⮚ Build a better gender balance in staffing through affirmative action. ⮚ Observe if women staff are as involved as men in high-profile activities such as interaction with visitors and chairing meetings, and take corrective action if warranted. ⮚ Encourage female staff to participate in external networks (local and regional), as well as seminars and cross visits. ⮚ Facilitate open and regular discussions with staff on about the work environment, policies, and values convenient to gender issues. Safety & Security Responsibility ⮚ Encourages compliance of Safety and Security principles and policies of the organization by all staffs; ⮚ Visiting project Offices and operational areas periodically to meet staff and making sure that all staff members are aware of the safety and security procedures; ⮚ Explains to staffs the reasoning behind the organization’s safety and security policies and procedures ⮚ Organizing local training sessions, such as First Aid, Fire Safety, and Defensive Driving for staff members. If possible, he/she should conduct briefing and training sessions himself/herself; ⮚ Ensures that safety and security objectives are added to performance reviews and evaluations of all staff members; ⮚ Encourages staff to adopt safe and secure practices. Ensuring that updated personnel information related to safety (Record of Emergency Data) and security management are kept in Human resources.
