Role Overview We are looking for a highly organized Office Assistant/Registrar who possesses a technical mindset. In this role, you will be the primary point of contact for our daily operations. You will balance traditional administrative support with the specialized data management of a Registrar and the financial diligence required for government reporting. This is an ideal role for someone who loves variety, handles data with precision, and enjoys keeping an office running well and smooth. Key Responsibilities 1. Administrative Support  Front-of-House: Manage the reception area, greet visitors, and handle multi-line phone systems with professionalism. Daily Coordination: Organize office calendars, schedule appointments, and coordinate logistics for meetings or events and attendances. Correspondence: Manage all incoming/outgoing letters, mail, courier services, and general email inquiries. Office Upkeep: Monitor and restock office and pantry supplies; ensure the physical workspace is professional and organized. 2. Registrar & Data Maintenance Record Keeping: Perform data entry for student/client files, ensuring 100% accuracy in the digital database. Document Issuance: Process requests for official records, certificates, or transcripts in compliance with laws. Digital Filing: Using your IT background, maintain a filing system (an app or cloud-based)  that is easy for the team to navigate and secure from data loss. 3. Financial and Student Records Documentations & Reporting Bookkeeping Support: Gather and organize invoices, receipts, and expense reports for the accounting department/senior accountant. Use Ms-Word and Ms-Excel for your daily works and Ms-PowerPoint for your reports. Third-Party Liaison: Communicate with vendors, utility providers, and third-party service offices to ensure timely payments and service delivery. Government Filings: Assist in the preparation of routine documents and reports for government agencies as scheduled both physical and online. Audit Prep: Organize physical and digital "audit trails" to ensure the office is always ready for external reviews for financial institutes, ministry of revenue, ministry of education and other related bodies. 4. IT & Technical Assistance Hardware/Software Care: Act as the "on-site" person for basic IT issues (setting up workstations, troubleshooting cahs register issues, printers, or updating software). Process Automation: Suggest and implement digital tools (like Excel macros or scheduling apps) to speed up repetitive office tasks.
