Background The Health, Development, and Anti-Malaria Association (HDAMA) is a legally registered Ethiopian Civil Society Organization founded in 1998(1990 E.C.). The organization was originally founded to address malaria prevention and control. The organization was originally established to address malaria prevention and control in response to the unprecedented and catastrophic malaria epidemic that affected the country at the time. However, over time, it has broadened its scope to effectively implement integrated programs in public health, livelihood development, humanitarian response, and capacity building in Ethiopia. The organization is working in line with the Civil Society Organizations Proclamation No. 1113/2019 and is working in close collaboration with government institutions, UN agencies, international NGOs, civil society organizations, and communities. The organization has gained considerable experience in the last two and a half decades in effectively implementing development programs in communities. With over 27 years of experience, HDAMA has established itself as a trusted partner in public health and development The organization currently has a website that gives a glimpse into the organization’s activities and institutional profile. However, the website requires significant upgrades in design, structure, functionality, and content presentation to align with modern standards of digital communication. In order to upgrade and redesign the existing website of the organization, a qualified consultant/consulting firm is to be recruited, employed and on boarded to redesign and upgrade the existing website. 2. Objective of the Assignment The main objective of this assignment is to update and revamp the existing website of HDAMA to increase the institutional visibility of the organization. More specifically, this assignment aims to: Redesign and restructure the website to improve usability, navigation, and overall user experience across all devices and internet environments. Update and enhance website content, including organizational profile, programs, and impact stories, to ensure accurate, engaging, and donor-relevant information. Optimize the website for accessibility and performance, making it mobile-responsive, SEO-friendly, and compatible with major browsers and devices. Measure institutional visibility improvements by tracking website traffic, user engagement (page views, time on site), and accessibility across devices within three months of launch. 3. Scope of Work The consultant or firm that is hired will be required to review, upgrade, and optimize the existing website of HDAMA. The work of the consultant or firm will begin with a review of the existing website to determine its technical performance, design, user interface, and user experience. Depending on the findings of this review, the consultant or firm will then develop strategies to upgrade and improve the website to ensure that it is enhanced in functionality, user interface, and design. The consultant or firm is required to upgrade and design a website that presents HDAMA’s work in a professional and presentable manner. The website should include a homepage that presents an overview of the work of HDAMA and its priorities, an “About Us” section that presents information about HDAMA’s history, vision, mission, values, and organizational structure, and a “What We Do” section that presents information about HDAMA’s areas of work in health, livelihoods, humanitarian responses, and capacity strengthening. - Implement key interactive features, including: A donation section allowing visitors to contribute online securely. A membership registration section with the ability to pay membership fees online. A volunteer registration section to enable individuals to sign up and offer voluntary services under HDAMA. Other sections of the website should include information about HDAMA’s impact and experiences, current and past projects, partnerships, and organizational achievements. Another section of the website would be accountability and safeguarding, where it would be mentioned how HDAMA is committed to transparency, gender equality, and inclusion, and how it safeguards against sexual exploitation and abuse. There would be a resource section where users would be able to access key documents of the organization. There would be a section for news and updates where program activities and organizational updates would be shared. There would also be a section for contacts where users would be able to fill in an inquiry form and access the contact details of the organization. All the content for the website would be created with existing approved materials of HDAMA. 4. Technical Requirements The updated website should be developed with reference to modern web development trends and guidelines appropriate for development organizations and civil society organizations. It should be developed with a professional appearance and be user-friendly and simple to navigate, with reference to HDAMA’s institutional style. The website should be fully responsive to mobile devices and other devices such as desktop computers, laptops, and tablets. It should be developed with reference to fast loading speed and low data consumption to cater to users with low internet accessibility. It should be developed with reference to secure hosting with HTTPS support, SEO support, and simple analytics integration to measure website traffic and usage. It should be developed with reference to a reliable content management system such as WordPress to easily update website content. It should be developed with reference to document download facilities, media galleries, and administrator facilities. 5. Capacity Building The consultant or the consulting firm will be required to offer orientation and training to the designated HDAMA staff on how to manage the website and how to keep the content updated. This will include training on how to manage the website, how to upload content, and how to keep the program information updated. The consultant or the consulting firm will be required to offer a simple user guide or manual on how the HDAMA staff can independently manage and keep the website updated after the completion of the assignment. 6. Deliverables The consultant or the consulting firm will be required to offer a fully upgraded and functional website for HDAMA with improved design, structure, and navigation. This will include the addition of the agreed sections on the website, with the content being approved and developed by HDAMA. The consultant or the consulting firm will be required to offer a document library for the organization, offer access to the website for the HDAMA staff, and offer training on how to manage the website. The consultant will then be required to offer the handover package after the completion of the assignment. 7. Target Audience The target audience of this HDAMA website will be diverse, including international donors, development partners, and United Nations organizations, international and national NGOs, government organizations, civil society organizations, researchers, media practitioners, Members, volunteers and the general public. This website should therefore provide information in a professional and presentable style, which can convey HDAMA’s work, experiences, and impacts to both technical and non-technical users. 8. Duration of the Assignment This assignment is supposed to be completed within four (4) weeks from the date of contract g. 9. Management and Coordination This consultant or firm will work under the overall supervision of HDAMA management and in close coordination with the Resource Mobilization and Communication team of HDAMA. All documents and information related to the organization required during the development of this website will be provided by HDAMA. Design concepts and content updates will be subject to approval and review by HDAMA before finalizing them.
