Job Summary The Procurement Officer is responsible for coordinating local and international purchasing activities of the company. The role focuses on preparing price comparisons for local purchases, supporting procurement planning, and managing foreign purchase processes through the Single Window system for import documentation and clearance. The officer will work closely with the purchasing team, suppliers, and internal departments to ensure efficient and cost-effective procurement operations. Key Responsibilities 1. Local Procurement Support Prepare price comparison sheets based on proforma invoices. Analyze supplier quotations and recommend the most competitive offers based on price, quality, and delivery time. Ensure all local procurement processes follow company policies and procedures. Maintain proper documentation for all local purchases. Support negotiations with suppliers when required. 2. Foreign Procurement and Import Coordination Handle foreign purchasing documentation and follow-up. Process and manage import documentation through the Single Window system. Coordinate with suppliers for proforma invoices, packing lists, commercial invoices, and shipping documents. Process and follow up import permits, customs requirements, and regulatory compliance. Coordinate and handle shipment procedures with Ethiopian Shipping Lines and manage Ethiopian Customs clearance processes. Track shipment schedules and ensure timely delivery of imported goods. 3. Procurement Documentation and Reporting Prepare and maintain procurement records, price comparison reports, and supplier information. Monitor purchase requests and ensure they are processed according to company procedures. Prepare procurement status reports for management. Maintain an organized filing system for procurement documents. 4. Coordination and Communication Work closely with the purchasing team. Coordinate with finance, warehouse, and logistics teams for procurement activities. Communicate with suppliers regarding pricing when required, documentation, and delivery schedules.
