Description

The Sales Operations Officer is responsible for coordinating and controlling all distributor sales transactions from order placement to delivery confirmation. This role ensures smooth collaboration among finance, warehouse, production, quality control, sales representatives (receipt issuance), and field sales teams to ensure timely order processing, accurate documentation, and efficient product dispatch. Key Responsibilities Receive, validate, and adjust distributor orders based on approved sales plans. Coordinate order confirmation with Finance before processing. Ensure orders are entered into the system (Business Central) accurately and promptly. Monitor order status from placement → approval → loading → dispatch. Prepare & share the relevant business documentation based on the requirements set.  Verify distributor payment status, over-deposit summary, and weekly reconciliation. Confirm deposit slips and payment approvals before order processing. Resolve transaction discrepancies. Communicate confirmed orders for picking, staging, and loading. Monitor loading schedules and dispatch timelines. Ensure FIFO and inventory availability based on the priority set for the distributor category. Follow up with non-conforming products reporting.  Coordinate replacement or rejection of non-conforming products. Ensure correct sales invoice and receipt documentation is prepared. Verify quantities and SKUs against loading documents. Ensure documentation is complete before dispatch. Provide updates on order processing and dispatch timelines. Track all distributor transactions to ensure accuracy and compliance. Maintain records of all order approvals, dispatch documentation, receipts, and non-conforming product complaints, as well as replacement/rejection. Monitor distributor loading priorities during high-demand and product shortage periods. Ensure no distributor leaves the warehouse without proper documentation. Address transaction-related inquiries promptly. Ensure distributors experience efficient and transparent service. Maintain accurate transaction records and operational logs. Propose improvements in workflow between departments to the line manager. Support implementation of sales automation tools or ERP improvements.
