The organization specializes in the supply, distribution, export, installation, and after-sales services across various strategic industries, adhering to international quality standards. The company participates in bids/tenders to provide governmental and non-governmental organizations with various equipment such as industrial machineries, ICT infrastructure products, construction machineries, electromechanical machineries and office technology products.  We are looking for a highly proactive, results-driven Executive Assistant who can operate as a support partner to leadership. The ideal candidate is an organized and influential coordinator with strong communication skills, capable of following up across teams, managing priorities in a fast-paced environment, and staying two steps ahead of operational deadlines and executive requirements. Position Summary The Executive Assistant (EA) will provide high-level strategic, operational, and administrative support to the Managing Director while actively supporting daily coordination across Tender, Fulfilment, and Business Administration units. In addition to executive support, the EA will oversee Public Relations (PR) and corporate communication activities to strengthen Lennox Trading’s professional image and market positioning. Key Responsibilities  Manage executive calendar, meetings, and follow-ups. Track execution of bid/tender projects in collaboration with tender unit head. Support decision-making by consolidating operational and financial updates. Track awarded bids and ensure smooth handover to the Fulfilment unit. Develop monthly organization operational plan in collaboration with all teams Follow-up execution of monthly operational planned activities Track project implementation timelines, installation schedules, and delivery milestones. Develop and manage Lennox Trading’s corporate communication calendar. Develop and maintain promotional materials. Coordinate branding consistency across proposals and external communication. Manage relationships with key stakeholders and partners. Support event coordination, exhibitions, and business networking engagements. Oversee LinkedIn and other professional communication channels  Track payment collections (in collaboration with finance manager), supplier payments, and compliance documentation Ensure documentation and reporting systems are organized and updated. Monitor client communication and satisfaction levels Organize Monthly one-on-one  performance check-ins between managing director and teams Organize weekly and monthly update meetings  Follow-up reporting timelines and organize a presentation at the monthly meeting  Prepare reports, presentations, and briefing documents for management meetings. Maintain back-up of different reports and documents in online drives
