JOB DESCRIPTIONS FOR FINANCE, ADMIN AND LOGISTICS OFFICER  JOB SUMMARY Reporting to the Board Chairman or Director of the businesses, he/she will also has a functional relationships with the general managers of both DAM and Bilate Businesses.  The Officer will take a charge of the overall logistics, financial and administrative health of our companies. His or her job description entails planning the set-up of project sites in collaboration with site engineers, as well as coordinating, directing, and monitoring activities of employees, sub-contractors, and others involved in executing an assigned project. It also involves ensuring that a project takes-off and is completed smoothly. He/she will handle the project logistics, organization, and safety by adequately scheduling staff, subcontractors, consultants, and vendors to ensure timely completion of projects. They also work hand-in hand with subcontractors and other business staffs to ensure that communications and safety protocols are followed.  KEY AREAS OF DUTIES Maintain a record of stocks in a warehouse and at project stores and undertake weekly, monthly and quarterly stock checks. Control and manage all vehicles at the sites (owned and rented) Control all assets belonging to DAM and Bilate Manufacturing at office and project sites. Undertake daily supervision of staffs under his/her leadership. Ensure that compound of businesses and project sites are safe, secure and to the company standard. Control and record project fixed assets, manage the equipment and ensure that equipment is properly used and prepare asset reports to the concerned supervisor.  Responsible for tracking, receiving and stocking all items ordered, carry out warehousing and storage duties in preparation for site-specific projects and ensure its timely delivery.  Ensure all the necessary documentation is collected, checked and attached to payment vouchers for submission to government offices like ministry of revenue. Keep accurate records for all daily transactions using appropriate formats. Monitor and supervise the task XXXX XXXX short and long term staffs at office and project sites.  Assisting the general and deputy managers in the process of recruitment and selection of position for local staff. Provide and facilitate induction for staff based on their area of responsibility. Familiar with audits, invoices, procurements, budget and payment preparations including accountabilities towards handling projects and operations to meet legal requirements, including demonstrating an interest in managing accounting activities along with bank reconciliations, accounts payable and accounts receivable.  He/she should also have excellent organizational skills and be able to handle time-sensitive tasks. Ultimately, he/she will be responsible for the day-to-day management of all financial transactions and procedures. He/she must ensure timely reporting to business owners, partners and ministry of revenue branch offices.  Note: The job description is not exhaustive and the post holder may be required to carry out additional duties.
