Description

Darwin Recruitment are currently hiring for a business in Luxembourg looking for an Operations Manager.

Qualifications

  • Proven experience in operations, office management, administration, or a related role with end-to-end ownership of responsibilities.

  • Demonstrated ability to own processes and make informed day-to-day operational decisions.

  • Strong organizational skills with a high level of attention to detail.

  • Ability to prioritize across multiple workstreams and manage operational trade-offs effectively.

  • Comfortable collaborating with technical teams, leadership, and external partners.

  • Fluent in English and highly proficient in French (minimum CEFR B2 level).

  • Self-motivated, reliable, and proactive, with a strong sense of ownership.

  • Enthusiastic about working in a dynamic, international, and fast-growing startup environment.

Responsibilities

  • Own and manage day-to-day operational processes across procurement, logistics, HR support, and office operations.

  • Define, maintain, and continuously improve internal operational workflows and best practices.

  • Coordinate purchasing activities and manage procurement workflows, including prioritization and follow-up with suppliers.

  • Oversee cost tracking and operational monitoring for projects and laboratory activities in close collaboration with finance.

  • Ensure timely invoice processing, expense reimbursements, and accurate operational documentation.

  • Coordinate logistical and operational support for company events and external activities.

  • Own and manage relationships with external service providers, suppliers, and building management.

  • Oversee office services, access management, shipments, and general office logistics.

  • Ensure a safe, efficient, and well-functioning work environment for all teams.

  • Own and manage employee onboarding and offboarding processes.

  • Coordinate operational aspects of recruitment, including job postings and candidate administration.

  • Oversee employee benefits, equipment provisioning, and recurring operational services.

  • Maintain accurate and up-to-date HR records and administrative processes.

  • Serve as the primary point of contact for employees on day-to-day HR and administrative matters.
