Qualifications
Proven experience in operations, office management, administration, or a related role with end-to-end ownership of responsibilities.
Demonstrated ability to own processes and make informed day-to-day operational decisions.
Strong organizational skills with a high level of attention to detail.
Ability to prioritize across multiple workstreams and manage operational trade-offs effectively.
Comfortable collaborating with technical teams, leadership, and external partners.
Fluent in English and highly proficient in French (minimum CEFR B2 level).
Self-motivated, reliable, and proactive, with a strong sense of ownership.
Enthusiastic about working in a dynamic, international, and fast-growing startup environment.
Responsibilities
Own and manage day-to-day operational processes across procurement, logistics, HR support, and office operations.
Define, maintain, and continuously improve internal operational workflows and best practices.
Coordinate purchasing activities and manage procurement workflows, including prioritization and follow-up with suppliers.
Oversee cost tracking and operational monitoring for projects and laboratory activities in close collaboration with finance.
Ensure timely invoice processing, expense reimbursements, and accurate operational documentation.
Coordinate logistical and operational support for company events and external activities.
Own and manage relationships with external service providers, suppliers, and building management.
Oversee office services, access management, shipments, and general office logistics.
Ensure a safe, efficient, and well-functioning work environment for all teams.
Own and manage employee onboarding and offboarding processes.
Coordinate operational aspects of recruitment, including job postings and candidate administration.
Oversee employee benefits, equipment provisioning, and recurring operational services.
Maintain accurate and up-to-date HR records and administrative processes.
Serve as the primary point of contact for employees on day-to-day HR and administrative matters.
